Guest Privacy Notice

This notice explains how your information is handled when you respond to an event invitation (RSVP) created with SeatPlanning.

Who is responsible for your data

The event organizer who invited you is the controller of your data and decides what to collect and how to use it. SeatPlanning provides the platform and acts as the organizer's processor—we process your data only to deliver the RSVP service to them.

What we collect

Depending on the organizer's form, this may include your name, email address, phone number, attendance status, plus-one details, and any additional fields the organizer adds—such as dietary preferences or accessibility needs.

Sensitive information

Dietary, allergy or accessibility information may be considered special-category (sensitive) data under Art. 9 GDPR. These fields are optional. You only need to provide them if you want the organizer to accommodate you, and by submitting them you consent to the organizer processing them for the event.

Who else can see your response

If the organizer publishes the chart or shares an invite link, anyone holding that link can see your first and last name, your RSVP status and your seat, alongside the other guests. Your email address, phone number and anything you write in a notes field are not shown there and stay with the organizer.

Entry tickets and QR codes

If the organizer uses QR entry, your confirmation email includes your entry code as an image embedded in the message itself. We generate it, it is not loaded from any third party, and it displays even if your email client blocks remote images.

How long it is kept

Your RSVP data is kept for the event and is deleted when the organizer deletes the chart or their account. If an email to you bounced or you reported it as spam, we keep your address on a suppression list so that we do not email you again.

Your rights

You can ask to access, correct or delete your RSVP data. Please contact the event organizer first, as they control your data. You can also contact SeatPlanning at contact@seatplanning.com and we will forward your request. You may also lodge a complaint with your local data protection authority; in Romania this is ANSPDCP (www.dataprotection.ro).
