When my wife and I planned our wedding, the seating chart itself was not the hard part. Everything around it was. The guest list changed almost every week: someone asked to bring a plus one, someone else dropped out, two people wrote back about what they could eat, and the guests travelling in needed to tell us where they were staying. All of it lived in a spreadsheet only we could read, and every change meant drawing the tables again.

So we went looking for a tool. Some were built for professional planners and took an afternoon just to understand. Others collected RSVPs but had no way to ask our guests the things we actually needed, like a meal choice or whether they needed a room. And almost none of them gave us a clear editor where you drag a guest onto a chair and see the whole room from above, which was the one thing we wanted most.

We got through the wedding, and afterwards we kept coming back to it. The same mess shows up at a conference, a company dinner, a fundraiser, any event where you invite people and need to know who is coming and where they sit. So we decided to build one tool that covers all of it: draw the chart, add your guests, invite them with a personal email, collect RSVPs with the custom questions you need, and scan people in at the door with a QR code when the event calls for it.

What we built

SeatPlanning is a seating chart editor that works the way you already think about a room. Import the guest list from your spreadsheet, lay out the floor plan with round tables, long tables, a stage, a dance floor, whatever your venue actually has, then drag guests into their seats. Nothing has to be typed twice.

Around that editor we added the pieces we needed ourselves: RSVP links for guests, email confirmations, print-ready PDF and Excel exports for the venue, QR check-in at the door, and shared access so a friend can help without borrowing your password. People use it for weddings, conferences, company dinners, school events, and at least one chess tournament.

Who we are

We are two developers and one small company. There is no support department. When you write in, one of the two people who wrote the code writes back, sometimes in the evening, always personally.

How we work

We keep the app deliberately small. A feature goes in when we can explain it in one sentence, and comes back out when nobody uses it. We do not sell guest data and we do not run ads. The free plan exists because we remember what a wedding already costs.
