A look at what the free plan covers, what a paid plan adds, and how monthly, yearly, and Event Pass options fit together.

SeatPlanning has a free plan and paid plans, plus a one-time Event Pass for a single event. Here is what each one covers.

The free plan

The free plan lets you build seating charts, add guests, and arrange seats on the canvas. It is a real product, not a trial: there is no time limit on how long you can use it. What it does not include are the higher-volume and advanced features described below, and it caps how much you can build on each chart, such as how many seats and tables you can add and how many collaborators you can invite.

What a paid plan adds

Paid plans raise those caps and add features the free plan does not include. Broadly, a paid plan can add:

  • More room to build: higher (or unlimited, depending on the plan) limits on seats, tables, and elements per chart.
  • Collaborators: inviting other people to view or edit a chart with you, with limits that scale by plan.
  • QR tickets and door check-in: issuing guests a digital ticket and scanning them in at the door, available on higher-tier plans.
  • Email invitations: sending invitations and reminders straight from your guest roster.
  • RSVP page design: more themes and the option to remove SeatPlanning branding from your public pages.
  • Automatic seat distribution: filling tables for you based on rules you set, instead of placing every guest by hand.
  • Full exports: clean PDF and Excel exports without the restrictions the free plan applies.
  • RSVP analytics: response-rate and custom-field breakdowns for your event.

Exactly which of these come with which plan, and the current limits for each, are shown on the pricing page rather than repeated here, since they can change.

Monthly vs. yearly

Paid plans can be billed monthly or yearly. Paying yearly costs less over the year than paying month to month. Switch between the two from your subscription settings at any time; changes usually apply at your next billing date rather than immediately.

Where the Event Pass fits

An Event Pass is different from a subscription. It is a one-time purchase tied to a single chart rather than your whole account. Buying one lifts that chart's limits and turns on premium features for it, for a limited time, which makes it a good fit if you have one event to run and do not want an ongoing plan. You buy an Event Pass from within a chart, not from the main pricing page.
