Invite collaborators
Bring in other people to view or edit your seating chart. Only the chart owner can send invitations, and each person gets a role that controls what they can do.
If you are planning with someone else, a partner, a coordinator, a coworker, you don't have to share your login. Invite them as a collaborator instead, and choose what they're allowed to do on the chart.
Only the chart owner can invite people. If you're a collaborator yourself, you won't see this option even if you have an admin role.
Before you start
Inviting collaborators is a paid feature. If you're on a free plan, you can turn it on for one chart with an Event Pass instead of upgrading your whole account. How many people you can invite depends on your plan.
Send an invitation
- Open the chart and go to its settings.
- Select Collaborators.
- Select Invite Collaborator.
- Enter the person's email address.
- Choose a role: Viewer, Editor, or Admin.
- Select Send Invitation.
The person appears in your collaborators list as Pending until they accept. Once they do, their status changes to Accepted and they can open the chart from their own account.
Choosing a role
Pick the role based on how much you want this person to be able to change. Viewer is safest for someone who just needs to check the plan. Editor suits someone actively helping you build it out. Admin is for someone you trust to manage the chart almost as much as you do.

Managing existing collaborators
Open Collaborators in the chart settings to see everyone with access. As the owner, you can:
- Update a collaborator's role.
- Remove a collaborator, which takes away their access right away.
This management view is owner-only. Other collaborators, including anyone with the Admin role, can see the list of people on the chart but can't change roles or remove anyone from it.
