Roles and permissions
SeatPlanning has four roles: Viewer, Editor, Admin, and Owner. Here's exactly what each one can and can't do.
Every person on a chart has a role, and the role decides what they can see and change. There are four: Viewer, Editor, Admin, and Owner.
Viewer
A Viewer can open the chart and look around. That's it.
- Can view tables, seats, guests, and the overall layout.
- Cannot move or edit anything.
- Cannot invite or manage other collaborators.
Use this role for someone who just needs to check the plan, like a venue contact confirming table counts.
Editor
An Editor can build and adjust the layout, but can't touch settings or remove things.
- Can add and edit tables, seats, and elements like text, icons, and images.
- Can send email invitations to guests.
- Cannot delete elements from the chart.
- Cannot edit chart info or seat settings.
- Cannot delete custom fields.
- Cannot clear the canvas.
- Cannot invite collaborators.
- Cannot manage templates.
Use this role for someone actively helping you arrange the room, without giving them the ability to undo work by deleting things or change how the event is set up.
Admin
An Admin can do everything an Editor can, plus one more thing: delete elements from the chart.
- Everything listed under Editor.
- Can delete tables, seats, and elements from the canvas.
- Cannot manage other collaborators. Changing anyone's role, removing someone, or inviting new people stays with the Owner.
- Cannot edit chart info, seat settings, or RSVP configuration.
- Cannot delete the chart or manage templates.
Use this role for someone you trust to clean up and reorganize the layout, not to run the chart's settings for you.
Owner
The Owner is whoever created the chart, and has full control.
- Everything listed under Admin.
- Can invite collaborators.
- Can edit chart info and seat settings.
- Can edit RSVP configuration.
- Can delete the chart.
- Can manage templates.
- Is the only one who can create or change Admins.
There's always exactly one Owner per chart.
