What is SeatPlanning?

SeatPlanning is a drag-and-drop tool for building seating charts, collecting RSVPs, and checking guests in. Here is what you can do with it.

SeatPlanning helps you build a seating chart for your event, invite your guests, and check them in on the day. You arrange tables on a canvas, drop guests into seats, and share the plan with anyone who needs it.

Think of it as your floor plan, your guest list, and your RSVP tracker in one place.

Build a floor plan

You start with a blank canvas and add what your venue needs:

  • Tables in round or rectangular shapes, sized to fit the number of seats you want.
  • Rows of seats for ceremony seating or theatre-style rooms.
  • Areas to mark a stage, a dance floor, or a bar.
  • Text, icons, and images to label sections and match your venue.

Everything moves with a drag, so you can try a layout, change your mind, and try another one in seconds.

Add and seat your guests

Add guests one at a time, or import your whole list from a spreadsheet so you are not typing names by hand. Once your guests are in, you drag them into seats, group families and friends together, and keep track of who is confirmed.

You can also let SeatPlanning place unassigned guests for you and adjust from there.

Collect RSVPs

When you are ready to hear back from guests, you can turn on a public RSVP page. Guests find their name, confirm or decline, and answer any questions you add, such as a meal choice. Their responses show up on your guest list as they come in.

Check guests in

For events where you scan people at the door, guests can receive a digital ticket with a QR code. You scan each ticket as guests arrive and watch your entry count update live.

Share and export

You can share a read-only view of your chart with anyone, and export a clean guest list or floor plan as a PDF or spreadsheet for printing and for your venue.
