Send email invitations

Send invitations straight from your guest roster in three steps: write or choose a template, pick recipients, and send. You can only email guests who are already on your chart.

Email invitations get your RSVP or ticket links in front of guests without you writing a single address by hand. You pick from the people already on your chart, choose how the email looks, and send.

Before you start

  • Your plan needs to include email invitations. If the option is locked, the pricing page shows what unlocks it.
  • Your chart's RSVP mode has to be Public RSVP or Digital Ticket & QR Entry. Manual Management Only has no public page for guests to respond to, so there is nothing to invite them to.
  • Guests need an email address on their seat. That is the only source of recipients, so it is worth checking your guest list before you send.

Step 1: Compose

Open Email Invitations from your chart, and start on the Compose step.

  1. Load a saved template, or start from the default one for your RSVP mode.
  2. Adjust the subject line, heading, and body text if you want to change the wording for this send.
  3. If your chart uses Digital Ticket & QR Entry, set Invitation link expires in to how long a guest's claim link should stay valid. Guests must claim their ticket before it expires, and the setting only applies to invitations you send after changing it.
  4. Continue once the email looks right in the preview beside it.

Step 2: Choose recipients

On the Recipients step, pick one group to send to:

  1. Unassigned Seats: guests who have not been placed at a table yet.
  2. Seats on Tables: guests already assigned to a table in your layout.

Each option shows how many seats qualify, and how many of those are missing an email and will be skipped. If that count is higher than you expect, open your seat list and fill in the missing addresses before sending.

In Public RSVP mode, every recipient gets the same shared link. Who you select here only controls who gets emailed, not who is allowed to open the RSVP page.

Step 3: Review and send

The final step recaps what is about to go out: how many recipients, which template, the subject line, and where the button in your email points. In Public RSVP mode that is your shared public link. In QR mode, each guest gets their own claim link automatically.

Sending is immediate and cannot be undone, so give the recap a real look before you confirm. When you are ready, select Send Invitations.

What happens after you send

Your invitations start sending right away, so you can close the page and keep working. If you hit a monthly, daily, or per-send limit, the wizard tells you which one and what to do next. See Email sending allowances for what those messages mean.
